Privacy notice
This notice explains what personal data Neo Opsis collects, why we collect it, who we share it with, and the rights you have. It covers this website, our contact form, and the Map my business tool at workflow.neoopsis.solutions.
Who we are
Neo Opsis is a UK consultancy based in Redhill, Surrey, run by Andy Hoare. For anything in this notice, including any request about your data, contact us at andy@neoopsis.solutions. We are the data controller for the personal data described here.
What we collect, and why
When you use our contact form
We collect the name, email address, subject and message you submit, and whether you opt in to our newsletter. We use this to reply to your enquiry and, if you opt in, to send you occasional updates. We do not need this data to browse the site; you only provide it if you choose to get in touch.
When you use the Map my business tool
The tool runs a short, AI-guided conversation about a business process you describe, and turns it into a process map. We collect:
- What you type about your process during the session, and the process map it produces. Please describe your own processes in general terms and avoid entering other people's personal data or confidential third-party information.
- Your email address, and name if you give it, only if you choose to download or share your map. We use this to deliver what you asked for and to send occasional, relevant tips. You can unsubscribe at any time.
- A randomly generated session identifier so the tool can keep your in-progress map together. Your IP address is processed briefly to limit abuse of the service, and is not stored against your map.
When you simply browse
We use Vercel Web Analytics, which is privacy-friendly and cookieless. It records aggregate, anonymised usage (such as which pages are popular) and does not identify you or track you across other websites. We do not use advertising or tracking cookies.
Our lawful bases
- Legitimate interests for responding to enquiries, delivering and improving the Map my business tool, and understanding aggregate site usage. We have weighed this against your interests and use the minimum data needed.
- Consent for the newsletter and for the occasional tips tied to the tool. Where we rely on consent, you can withdraw it at any time.
Who we share it with
We do not sell your data. We use a small number of trusted providers who process data on our behalf, under contract and only on our instructions:
- Vercel: hosts the website and provides the cookieless analytics.
- n8n: routes contact-form and tool submissions on our own infrastructure (n8n.neoopsis.solutions).
- Zoho: our customer relationship management system, where enquiries and leads are recorded.
- Supabase: the database that stores the Map my business sessions and maps.
- An AI provider: the text you enter into the Map my business tool is sent to a third-party AI service to generate your map. The provider processes it to return a result and does not use it to train its models.
Some of these providers may process data outside the UK. Where they do, the transfer is protected by appropriate safeguards, such as a UK adequacy decision or standard contractual clauses.
How long we keep it
We keep enquiry and lead data for as long as needed to deal with your enquiry and our ongoing relationship, and for up to 24 months after our last contact, unless you ask us to delete it sooner. Map my business sessions are retained for up to 12 months. Cookieless analytics are aggregate and not tied to you.
Your rights
Under UK data protection law you have the right to access your data, to have it corrected or deleted, to object to or restrict how we use it, to data portability, and to withdraw consent at any time. To exercise any of these, email andy@neoopsis.solutions and we will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to put things right first.
Changes to this notice
We may update this notice as our services change. The date at the top shows when it was last revised.
